Customer Responsibilities and Checklist

When submitting coins to NGC, please follow these instructions:

  • Place raw coins up to 40.6 mm diameter in 2.5" x 2.5" non-PVC plastic flips. Use larger flips for larger coins. Coins should insert easily into a flip. Placing a coin in a flip that is too small may result in damage to the coin. Remove all plastic sleeves or any other packaging before placing a coin in a flip.
  • Place only one coin in a flip and fold the other half of the flip over. Do not cut, tape, staple or glue flips as they can damage the coins.
  • Coins may be submitted in plastic capsules instead of flips. Do not place a capsule in a flip.
  • NGC Conservation is optional. If NGC Conservation is desired, choose only ONE NGC Conservation tier.
  • Verify that your coins meet the value and type requirements for the selected tier. Any discrepancies may result in the delay of your submission. If coins are submitted for tiers or services for which they do not qualify, NGC will correct the order and charge any additional conservation, grading or services fees that may apply.
  • NGC reserves the right to correct any clerical error on any certification label or convert any submission to its Appearance Review service.
  • Do not mix raw and holdered coins on one submission form.
  • Oversized coins (larger than 45 mm in diameter or 9 mm in thickness), GSA hard case, GSA soft pack and holdered coins must be on separate submission forms. Do not mix these on a submission form with other coins.
  • Package your coins in the order that they are listed on the submission form. Write the submission / invoice number (located in red in the upper right hand corner of the form) and the line number for each coin (e.g. 5591421-001 for the first coin, 5591421-002 for the second coin, etc.) on a small label and insert it into the flip opposite the coin with the label facing out.   • For non-bulk submissions, the maximum number of coins per submission form is 50. Use multiple submission forms as needed. For bulk submissions, the minimum number of coins per submission form is 100.
  • If you have an NGC member credit, it will be automatically applied to your submission fees. You must still provide a method of payment to be used for any amount due above the member credit.
  • You may send coins in capsules or mint packaging. If selected, Mint packaging will be returned for $5 plus shipping. See last page for exclusions.
  • ReGrade: If you disagree with a grade previously assigned by NGC, you may submit the coin for review for a higher grade. The coin must be intact in its NGC holder. Choose a grading tier according to the coin’s value and the tier requirements. Coins are graded according to NGCʼs grading standards, and a higher grade is not guaranteed. Fees are not refunded if a higher grade is not received. A coin submitted for ReGrade will be removed from its NGC holder by NGC staff and encapsulated with a new NGC holder, label and certification number, even if the grade does not change. All coins submitted under ReGrade are subject to the terms and conditions of the NGC Guarantee. In the unlikely event that the grade is determined to be lower through ReGrade, the ReGrade will be converted into an Appearance Review under the NGC Guarantee.
  • CrossOver: Review of PCGS-holdered coins for NGC certification. Coins will be removed from their holders and encapsulated by NGC only if NGC determines that the coins will receive an NGC grade that is the same grade or higher than the grade assigned by PCGS. If you would like your PCGSholdered coin certified by NGC even if NGC determines that it will receive a lower numeric grade, specify ANY in the CrossOver Minimum Grade column of the NGC Submission Form. If you would like your PCGS-holdered coin certified by NGC even if NGC determines that it will receive an NGC Details grade (or a lower numeric grade), specify DETAILS in the CrossOver Minimum Grade column of the NGC Submission Form. You may not request a minimum grade that is higher than the grade that is on the PCGS holder. Coins holdered by other grading services are not eligible for CrossOver and must be removed from their holders and submitted raw (not holdered), or they may be submitted in their holders if they are accompanied by NGC’s Consent to Remove Coin(s) from Holder(s) Form.
  • Minimum grade is not required. In most cases, it applies to CrossOver submissions only. Specifying a minimum grade may prevent your coins from being encapsulated.
  • Sign the Consent to Remove Coins (on the back of this cover sheet) if applicable, and include with submission.
  • Sign and return all required forms with submission.
  • IMPORTANT: If you would like to pick up your submission at a FedEx location, you must enter the FedEx location’s address (along with your name). For security reasons, NGC will not change the shipping address or instructions after the submission has shipped from our facility. Any undelivered shipments returned to NGC will be subject to additional shipping fees charged to the submitter.
  • Fragile Coins Note: Certain collectibles may be more susceptible to damage due to the state in which they are provided by the submitter to NGC (for example, collectibles that are enameled, colorized, painted, jeweled, or have holograms or other specialty applications; collectibles that are extremely thin; collectibles that are extremely fragile or brittle (including many collectibles struck prior to 1700); and collectibles that exhibit “bronze disease”). NGC will use reasonable care with respect to collectibles submitted to it for services. However, NGC will only be responsible for damage or loss to a collectible in the event NGC determines that such damage or loss was due to NGC’s negligence while the collectible was in its possession, in which case the submitter’s sole remedy will be compensation based upon NGC’s good faith determination of the fair market value of the collectible, in light of what NGC believes to be reliable current market information. The amount of the compensation will not necessarily be based upon, but in no event will exceed, the submitter’s stated declared value of the collectible set forth in this submission form.
  • INTERNATIONAL SHIPMENTS: You must designate yourself as the “importer of record” for any shipments to NGC, and you are responsible for all customs duties and fees for your submissions. If NGC incurs any customs duties and fees for your submissions, these costs will be billed to you plus an administrative fee of $25.
  • Turnaround times are estimates and are NOT guaranteed.
  • IMPORTANT: If paying by check, make check payable to NGC and indicate check number in the appropriate area. If paying by wire transfer, indicate that in the appropriate area. If paying by credit card, include credit card information and sign on the appropriate line.
  • Note: Boxes 13 (if applicable) and 14 must be signed in order to process your order. Incomplete forms will result in a delay in processing.
